But before we jump in — we need to go over the common roadblocks that could trip you up.
To many business owners, meeting the requirements of the food hygiene rating scheme is like a black box. The path to follow is not visible – and the rules seem unclear. Nevertheless, failing to understand how your business will be assessed under the Food Hygiene Rating Scheme (and knowledge of the rules) will be your demise.
To be sure you achieve success, you need to learn how the EHO will assess your business. And with this in mind, get to know how food hygiene scores are calculated. (**We’ll cover this in a future blog).
Specifically, there are three key areas to focus on (see image above).
✅ Food safety and hygiene procedures: How hygienically food is handled, prepared, cooked, cooled, re-heated and stored (knowledge and behaviour)
✅ Structural requirements: The condition and structure of your premises (it includes cleanliness, layout, lighting, ventilation and pests)
✅ Confidence in management procedures: How you manage and record what is done to make food safe, and whether staff are trained for their role.
These requirements are set out in the Food Standard Agency’s National Food Hygiene Brand Standard.
Your food hygiene rating will be based on an assessment of compliance in those three key areas shown above. To get the highest rating, you must do well in all three parts of the assessment.
Business owners are unaware of the common mistakes that lead to failure:
🚫 Failing to take the rules seriously — this is a common pitfall.
🚫 Assuming “we’ve never poisoned anyone” does not mean food is safe.
🚫 Treating food safety as a tick-box exercise rather than risk control.

Once you’ve prepped your mind to be in a good place, you are ready to jump into Phase 1 – the Get Ready Phase.
We’ll be tackling your paperwork first.
In the Get Ready Phase, you’ll undertake a review of your food safety documentation.
Here, your Food Safety Management System (FSMS) is the core of your food safety defences. The paperwork is there to offer a layer of protection.
To do its job properly, your food safety documentation must not be filed away gathering dust. Or locked in an office.
In practice, it must be in use on a daily basis. For example, the EHO will assess your documentation to see whether it holds up under scrutiny.
💡So, here are some questions to ask yourself during your food safety document review.
✅ Does your Food Safety Management System (FSMS) reflect your business activities?
❓Does your Food Safety Management System outline clear tasks, roles, and responsibilities?
❓Do staff know how to prevent contamination?
❓Have you trained staff on those procedures?
❓Are staff following your safe operating procedures?
❓Do they know why each step matters?
❓Have you documented staff training? And are your records up-to-date?
❓Has monitoring of processes like cooking, chilling and hot holding been documented?
❓Did you write down corrective action when problems occurred?
❓Are there any unexplained gaps in your records?
❓Did a manager review and sign off all monitoring records?
Ask yourself:
✅ Has your documentation been kept up to date?
More specifically:
➊ Can you show that your Food Safety Management System has been reviewed and updated in the past 12 months. (You need to do this sooner, if significant changes have occurred).
👉Find out When to review your HACCP Plan.
➋ Does your FSMS reflect your current food safety hazards, legislation, or operational changes?
➌ Do you have evidence of continuous improvement (e.g. like the Plan-Do-Check-Act cycle)?
Finally, once that’s done, you’re ready to move on to the next phase.
You’re ready to take Aim.
The Aim Phase is all about focusing and rehearsing before your EHO inspection.
The first step is to take aim. This means, you’ll focus your attention on two key areas:
Structure & premises, and knowledge & behaviour (see image above).

Once attention has been focused on these key areas – you will rehearse before the EHO visit.
Follow these steps to simulate the EHO inspection effectively:

This means you must walk the premises as if you are the inspector.

Remember — it’s important to brief staff thoroughly, and go over the essentials before the EHO visit 📢:
✅ Explain what to do when the EHO inspector arrives.

✅ Show staff where key documents are stored (never leave these locked in an office).

The EHO (Environmental Health Officer) won’t just inspect your kitchen. They’ll observe behaviour and ask questions. In addition, the inspector will look for signs that your documentation is in frequent use.
