Pre-EHO Inspection Checklist

EHO Inspection Checklist: Get Ready For 5-Star Hygiene Rating

💡 This blog is part of our Food Safety Help Centre – your one-stop resource for food business owners who want clarity, not confusion.

No one opens a food business expecting to fail a food hygiene inspection – but it happens.

And when it does, it often comes as a shock.

One day you’re trading as normal.

The next, you’re dealing with a low rating, a flood of questions, and a sinking feeling in your stomach.

💡 If that’s already happened to you, we’ve written an article to help you deal with the fallout of a disappointing food hygiene score — and how to take back control before your next inspection.

But if you’re still in the preparation phase — or want to avoid that situation altogether — this post is for you.

Why Preparation Is The Winning Ingredient

Here, we’ll walk you through a clear, practical framework: Ready. Aim. Fire.

It’s designed to help you prepare with confidence — and walk into your next EHO inspection ready to pass first time with a 5-star rating.

And for good measure, you’ll also get a free EHO Inspection checklist to help you spot gaps early and fix them before the inspector arrives.

❓Not sure why a checklist is so important? 👉 Read this quick guide on why every food business needs an EHO Inspection Checklist.

1️⃣ EHO Inspection Checklist With Strategy For Success

Many food businesses approach their EHO inspection backwards.

They panic – hope – and pray. Afterwards, they wonder why they didn’t get that 5-star food hygiene rating.

The truth? That approach doesn’t work. It leaves too many gaps.

👉 But there’s a better way.

Let’s walk through how to get EHO inspection-ready — step by step.

2️⃣ EHO Inspection - Prepare Smart

The smarter you prepare for your food hygiene inspection, the greater your chances of success.

This structured approach — known as the Ready. Aim. Fire. method — helps you prepare with intention.

Borrowed from military strategy, it lets you build strong food safety defences in advance.

By following this method, you’ll approach your EHO inspection like a pro.

✅ No more winging it. No more muddling through.
✅ And definitely no more panic.

And in doing so, you will massively boost your chances of a 5-star outcome.

From here on, you’ve got a clear framework to guide the preparation for your EHO visit.

So now your interest is piqued, let’s get properly prepared…

But before we jump in — we need to go over the common roadblocks that could trip you up.

3️⃣ Why Businesses Fail Their EHO Inspection

The factors that EHOs assess

The Hygiene Rating Rules

To many business owners, meeting the requirements of the food hygiene rating scheme is like a black box.

The path to follow is not visible – and the rules seem unclear.

Nevertheless, failing to understand the rules will be your demise.

To be sure you achieve success, you need to learn how the EHO will assess your business.

And with this in mind, get to know how food hygiene scores are calculated. (**We’ll cover this in a future blog).

Specifically, there are three key areas to focus on (see image above).

How hygienically food is handled (knowledge and behaviour)

The condition and structure of your building

How you manage and record what is done to make food safe.

How NOT to Fail Your EHO Inspection

❌ Common Mistakes That Lead to Failure:

🚫 Failing to take the rules seriously — this is a common pitfall.
🚫 Assuming “we’ve never poisoned anyone” does not mean food is safe.
🚫 Treating food safety as a tick-box exercise rather than risk control.
🚫 Believing that being clean is enough (it’s not).
🚫 Ignoring early signs of pests, which can lead to infestations.

⚠️ These additional red flags can also hurt your rating:
🚫 Poor structure or broken equipment.
🚫 Outdated or missing paperwork.
🚫 Lack of team leadership.
🚫 No records to show your team were trained. (As a result, this will become apparent when they can’t answer the EHO’s questions).

In short, unnecessary mistakes like these add points to your score.

What can boost your score is the use of an Inspection Checklist.  We’ll get to that in a moment.  But first – let’s be clear about mindset.

Prepare For Your EHO Inspection With The Right Mindset

Of course, you need to be aware of where you can fail.  But don’t let this discourage you..because:

It’s important to prepare for your EHO inspection with a strong mindset.

And it’s perfectly normal to feel nervous before an EHO visit.

If you have doubts  – then read our article on reframing your thoughts.

With this in mind, let’s jump into Phase 1 – the Get Ready Phase.  And tackle your paperwork first.

4️⃣ Get Ready Phase: Documentation Review

Your Food Safety Management System (FSMS) is the core of your safety defences.  The paperwork is there to offer protection.

To do its job properly, it can’t be filed away gathering dust.  Or locked in an office.

In practice, it must be in use on a daily basis.

For example, the EHO will assess your documentation to see whether it holds up under scrutiny.

💡So, here are some questions to ask yourself…

The Documentation Review

Does your Food Safety Management System (FSMS) reflect your business activities?

Specific Questions To Think About

  • Does your FSMS outline clear tasks, roles, and responsibilities?
  • Do staff know how to prevent contamination?
  • Have you trained staff on those procedures?
  • Are staff following your safe operating procedures?
  • Do they know why each step matters?
  • Have you documented staff training?  And are your records up-to-date?
  • Has monitoring of processes like cooking, chilling and hot holding been documented?
  • Did you write down corrective action when problems occurred?
  • Are there any unexplained gaps in your records?
  • Did a manager review and sign off all monitoring records?

When To Review Your Food Safety Management System

Has your documentation been kept up to date?

  • Can you show that your management system has been reviewed and updated in the past 12 months. (You need to do this sooner, if significant changes have occurred).  [Find out when to review your HACCP Plan].
  • Does your FSMS reflect your current food safety hazards, legislation, or operational changes?
  • Do you have evidence of continuous improvement (e.g. like the Plan-Do-Check-Act cycle)?

Finally, once that’s done, you’re ready to move on to the next phase.

You’re ready to take Aim

5️⃣ AIM Phase: Focus and Rehearse For Your EHO Inspection

Importance Of Using An EHO Inspection Checklist

In the Aim Phase, focus your attention on two key sections:

Structure & premises, and knowledge & behaviour (see image above).

This is where checklists and observation tools are especially helpful.

Once focused on the areas that are important – rehearse before inspection day.

🔴 How To Take Aim

Take these steps to simulate the EHO inspection effectively:

✅ Conduct a full mock inspection (similar to how the EHO would inspect your premises)
✅ Walk the premises as if you are the inspector
✅ Invite staff from different departments to inspect each other’s areas
✅ Use an inspection checklist (similar to what your EHO will use)
✅ Ask, “Why is this happening?” whenever you spot poor practice — and dig until you find the real cause.

Once you’ve spotted the gaps, shift to action mode:

✅ Build a plan to fix what’s wrong
✅ Involve your team — delegate clearly
✅ Share what you found in meetings or quick daily huddles
✅ Keep the EHO inspection top of mind
✅ Create a culture where everyone is alert and ready (EHO inspections are unannounced).

Brief Staff BEFORE The EHO Inspection Visit

Remember — it’s important to brief staff thoroughly, and go over the essentials:

✅ Explain what to do when the EHO inspector arrives.

✅ Identify who should be called.

✅ Show where key documents are stored.

✅ Prepare staff for the kinds of questions they might face — and how to respond confidently.

✅ Highlight the key practices the EHO will be checking.

Moreover – keep this in mind.  The EHO (Environmental Health Officer) won’t just inspect your kitchen. They’ll observe behaviour and ask questions. In addition, the inspector will look for signs that your documentation is in frequent use.

This is why the Aim Phase is so powerful.  It lets you catch issues before the EHO visit happens.

Now let’s move to the final phase – The Fire Phase.

6️⃣ FIRE Phase: Execute Confidently on EHO Inspection Day

When inspection day finally arrives, here’s how to stay in control:

✅ Focus your team — get everyone aligned with the same mindset (like before an exam).

✅ Remain calm, professional, and cooperative.
✅ Provide requested documents quickly and with confidence.

For instance, walk the inspector through your business clearly, without sounding defensive.

At that point, your preparation needs to turn into confident execution.

So, once the EHO inspection is underway:

✅ Answer questions directly and honestly.
✅ Don’t be afraid to ask the inspector to rephrase something if you’re unsure.
✅ Show that you understand the why behind your safety controls — not just what they are.
✅ And finally, avoid guessing, speculating, or over-explaining.

👉 TIP: Strong preparation and regular practice pays off.

When you execute well, you maximise your chances of securing a 5-star hygiene rating.

7️⃣ Preparing For Your EHO Inspection - Why This Matters

Lots of small gaps or weaknesses will lead to lots of small increases in your hygiene rating score.  And as these scores add up, you increase the risk of losing one star — or more.

Businesses that achieve a 5-star food hygiene rating have one thing in common:

👉 They don’t guess.

What sets them apart?
✅ They maintain a working Food Safety Management System.
✅ And they run regular mock inspections to keep standards high.

In addition to systems, people make the difference:
✅ Their staff are well-trained and inspection-ready.
✅ Leadership stays actively involved in maintaining standards.

Finally, they use a framework like Ready. Aim. Fire. to manage the process.

Because you don’t win inspections by chance

👉 Ultimately, you win by design.
